Cash-up is one of those jobs that looks simple until several machines, different site agreements and a day’s worth of collections are involved. The operator needs to record what was collected, apply the right commission or charity settings, give the site a clear receipt and keep the business cash records up to date.
VendMetrix is built around that workflow. It is a UK vending operator app for cash-ups, commission, receipts, routes and reporting. It does not reconcile van stock or calculate product movements. The stock monitoring feature shown on the website is still marked as coming soon.
Start with the route
The route planner shows sites that are due for a visit. An operator can choose the stops for the day and open the route in Google Maps, with up to eight stops at a time.
That keeps route planning connected to the same place used for cash-up records. It also means the operator can review the day’s sites before leaving rather than building a separate list from messages, notes and spreadsheets.
Select the site and machine
At the site, VendMetrix uses GPS to help identify nearby locations. The operator confirms the correct site and machine before starting the cash-up.
This matters when a location has more than one machine. Each machine can have its own cash-up record, while the site’s settings determine how the relevant calculations are applied. The operator is recording a real collection against a known site and machine, not entering one total for the whole round.
Record the money collected
The cash-up screen lets the operator enter UK coin denominations. VendMetrix then uses the saved site and machine settings for the calculations that apply to that collection.
Those settings can include flat-rate or tiered commission, charity contributions, machine totals, VAT and income tax figures where configured. The operator can review the result before completing the cash-up.
VendMetrix is not reading a machine remotely and it is not inferring which products were sold. The cash-up is based on the collection information entered by the operator and the settings already held for that site or machine.
Give the site a clear receipt
Once the cash-up is complete, the operator can print a receipt using a compatible Bluetooth printer or email it. The receipt gives the site a record of the visit without relying on a handwritten calculation.
Site owners can also be given access to a portal for the information made available to them. This keeps the operator’s internal controls separate from the view intended for a site customer.
Keep the safe balance up to date
A completed cash-up updates the operator’s cash records. VendMetrix includes a safe balance and records for movements such as bank deposits and withdrawals. Free samples can also be recorded, so the operator’s records do not treat every outgoing item as a sale.
The important point is that this is a cash and business record. It is not a van inventory ledger. Operators should continue using their own current stock process until VendMetrix releases and documents its stock monitoring feature.
Use reports without rebuilding the figures
Because cash-ups, routes and site settings are kept together, operators can use VendMetrix reports to review their business. The available reports cover areas such as cash-ups, sites, machines, routes, collectors, charity amounts and the safe ledger.
This gives the operator a consistent record for day-to-day questions. They can look back at collections, compare sites or machines and review the figures already entered during the round. Reports do not replace accounting advice, but they reduce the need to rebuild routine vending records from separate notes.
Move on to the next visit
After the receipt is handled and the cash-up is saved, the operator can continue with the route. The next visit, cash-up and receipt follow the same process, even when the site settings differ.
That repeatable flow is the practical benefit of VendMetrix: select the right site and machine, record the collection, apply the saved settings, produce the receipt and keep the cash records together.
